This notice describes how personal data is processed for users interacting with the website latentia.xyz, in accordance with Regulation (EU) 2016/679 (the “GDPR”).
1. Data controller
The data controller is Latentia, based in Naples, Italy. For any request concerning your data you can write to us at [email protected].
2. What data we collect
- Contact form: name, email, company (optional) and the content of the message you send us.
- Virtual assistant (chatbot): the text of the messages you write in the chat, stored locally in your browser and sent to our service to generate a reply. Replies are generated by an artificial intelligence system, not by a human operator.
- Call-back requests from the chat, newsletter and downloadable resources: if you voluntarily leave us your email (in the chat, in the newsletter form or to access a resource), we store your email, the channel it came from, date and time, IP address, technical browser information (user agent) and, for requests made through the chat, an excerpt of the conversation, so that we can get back to you in a relevant way.
- Website usage events: we record, on an anonymous basis, clicks on contact buttons (button label, page of origin, referring site and time), with no personal data or profiling cookies, to understand which content is most useful. These events are automatically deleted after 180 days.
- Aggregated, anonymous technical data collected by privacy-friendly traffic analytics tools (no profiling cookies).
3. Purposes and legal basis
- Responding to your requests and providing an initial assessment (legal basis: your consent and pre-contractual measures, Art. 6.1.a/b GDPR).
- Operating the virtual assistant (performance of the requested service).
- Sending you the newsletter, if you have subscribed (legal basis: your consent, Art. 6.1.a; you can unsubscribe at any time by writing to us).
- Improving the website through anonymous statistics (legitimate interest, Art. 6.1.f).
4. Providers and transfers
To deliver the service we rely on third-party providers acting as data processors, including Cloudflare (hosting, infrastructure, storage of messages and the assistant's artificial intelligence) and Resend (sending email notifications). Data may be processed on servers located outside the EU, subject to appropriate safeguards (standard contractual clauses).
5. Retention
We retain contact-form data and emails voluntarily left with us (chat, newsletter, resources) for as long as necessary to handle your request and any resulting relationship, or until you withdraw your consent. The history of your conversation with the assistant remains stored in your browser (you can delete it by clearing the site's data); an excerpt is kept in our systems only if you leave us your email to be contacted again. Anonymous website usage events are automatically deleted after 180 days.
6. Your rights
You can at any time request access, rectification, erasure, restriction or portability of your data, and object to the processing, by writing to [email protected]. You also have the right to lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali), or with the supervisory authority of the country where you live.
